What to send your CA after overseas payments: a monthly records pack

Send a connected trail rather than a folder of unexplained PDFs: invoice register, provider activity, actual bank credits, remittance proof and unresolved issues. This is a suggested handoff format, not a universal statutory document list.

Quick answer

  • Use a clearly named business and review period; keep different entities and currencies separate.
  • Preserve original documents and connect each working entry to its source reference.
  • List missing evidence and disputed differences explicitly so the reviewer knows what remains unresolved.

What goes on the cover note?

Name the business or entity, the period covered and the person responsible for follow-up. Say whether the pack is for monthly bookkeeping, a GST review, export reporting or year-end preparation. Those jobs overlap, but they are not the same review. Ask your CA whether another register or a different period is needed before exporting a large batch.

Avoid filenames such as “final-new-latest.pdf”. A clear format is “Example Studio — October 2026 — payment review — v1”. A revision should say what changed and which earlier file it supersedes. Keep original source documents unchanged; revise the cover note and working register instead.

Which records should I include?

Folder or registerWhat belongs there
01 InvoicesIssued invoice PDFs, invoice register, credit/debit notes and client references
02 PaymentsProvider transaction exports, settlement records and actual bank statements
03 ProofIssuer-provided FIRA/e-FIRC/advice and any supporting NOC
04 DifferencesDocumented fees, pending balances, unclear conversions and disputed allocations
05 Applicable filing recordsRelevant acknowledgements, LUT details and draft/previous filing records requested by the reviewer
06 QuestionsUnresolved items, the person to ask, evidence requested and next review date

Provider documents are route-specific: Wise’s instructions distinguish e-FIRC and partner-bank processes, while PayPal describes period-based advice. These are reasons to identify the actual document, not rename every downloaded PDF “FIRC”.

What columns make the working register useful?

  • Invoice identifier, client and invoice date.
  • Invoice currency and original invoiced amount.
  • Payment reference, receipt date and actual credited amount with its currency.
  • Supporting filename and the relevant document entry or page.
  • Allocation status: proposed, confirmed or still unresolved.
  • Issue, owner and next action for anything not explained.

Keep unlike currency totals separate. If one transfer pays several invoices, record the allocation in a separate set of rows so the same receipt is not counted more than once. If the invoice is unpaid at month-end, keep it in the register with an open status rather than hiding it because there is no bank credit yet.

What should I do when a document is missing?

Name the missing record and the reference it should explain. “Need advice for withdrawal DEMO-W01” is useful; “some proof missing” is not. Include the provider request number if there is one, and keep an issue open until someone has reviewed the response.

A missing certificate is not a reason to fabricate one. A draft generated by bookkeeping software is not a bank-issued advice, and a prepared GST JSON is not a filing acknowledgement. The GST portal’s GSTR-1 manual describes the portal workflow; retain the relevant portal evidence after the responsible person submits.

Use the checklist below as a conversation starter. Selecting every item means you have accounted for those record categories, not that tax treatment, completeness or compliance has been certified. Your reviewer may still need contracts, expenses, withholding evidence or other records specific to your business.

Questions people ask

Can I send only my bank statement to my CA?
A bank statement establishes credits and debits, but may not explain the invoice, currency conversion or supporting proof. Ask the reviewer for the required documents and connect the relevant records.
Should unpaid export invoices be in the monthly pack?
Keep them visible with an open status so they are not lost when comparing invoices with receipts. Which filings or periods they affect remains a review question.
Does a complete checklist mean my export filing is finished?
No. The checklist organizes record categories. Review, validation, submission and acknowledgement are separate steps.
Should I combine the records of two businesses?
Keep entities and GSTINs clearly separated. Ask your CA how they want a consolidated overview while preserving the underlying boundaries.
