Invoice missing or mismatched in GSTR-2B? Check the records first
Start with the correct GSTIN, statement period and purchase register. A missing invoice, a value difference and a duplicate need different follow-up. A match is a reconciliation result, not an automatic decision that input tax credit can be claimed.

Quick answer
- Compare original document identifiers before matching only on amounts.
- Do not create a purchase solely because a supplier entry appears in the portal data.
- Review current portal and IMS guidance with the responsible tax reviewer before deciding credit treatment.

Which files do I need before comparing?
Use the downloaded statement for the intended GSTIN and period, the purchase register for that business, and the supplier invoices or notes. Keep the download date and the source filenames. If a working register has been cleaned or reformatted, preserve the originals and document the changes.
The GST portal manual explains viewing and downloading GSTR-2B. Check current portal and IMS instructions for the relevant period; a screenshot of a summary is less useful for line-level reconciliation than the underlying document records.
How should I separate the exceptions?
| Observation | Check next | Avoid assuming |
|---|---|---|
| Same document and values | Business use, source document and applicable credit conditions | That matching alone establishes eligibility |
| Document in books, absent from this statement | GSTIN, supplier reporting reference, period and document details | That absence proves supplier default |
| Document in statement, absent from books | Whether the purchase belongs to the entity and whether the invoice was received | That the portal entry should automatically be booked |
| Document present with different values | Taxable value, tax components, notes and amendments | That every difference is rounding |
| Possible duplicate | Document number, supplier, period and source rows | That one row can be deleted without checking |
What should I ask the supplier?
Give the supplier the invoice number and date, your GSTIN, the statement period checked and the exact difference. Ask them to verify their reporting reference and whether an amendment or a later period explains it. Keep the reply with the exception instead of relying on an undocumented phone conversation.
Suggested wording: “We cannot locate invoice DEMO-042 in the statement for the period reviewed. Please verify the recipient GSTIN and document details in your filed records, and share the reporting reference or correction status.” This asks for evidence without alleging default.
If the supplier says the invoice was filed, ask which period and which recipient GSTIN were used. Review the answer against the source invoice. A period mismatch and a wrong GSTIN are different issues, so keep the exception category and next action accurate.
Can I claim ITC once the invoice matches?
The GST portal FAQ cautions that legal eligibility can depend on more than the statement’s availability indicator. Matching software should help identify records for review; it should not turn every matched line into an approved credit claim.
Send the reviewer a matched list and a separate exception list, with supplier evidence and unresolved questions. If an item is resolved in a later review, record when and why its status changed. Retain the original period’s working papers rather than silently replacing them. Blackbird’s role is to organize comparison and exceptions; the filing decision remains with the responsible person.
Questions people ask
- Does an invoice missing from GSTR-2B prove the supplier did not file?
- No. First check the period, GSTIN, document identifiers and the supplier’s reporting evidence. An absent record is an exception to investigate, not proof of default by itself.
- Can I edit GSTR-2B to insert the missing invoice?
- Do not treat an edited local spreadsheet as a changed portal statement. Use the current supplier correction and portal/IMS processes applicable to the period, with your tax reviewer.
- Is matching GSTR-2B the same as approving ITC?
- No. A match identifies corresponding records; credit eligibility and any required action depend on the applicable rules and facts.
- Should I delete duplicates automatically?
- Review the supplier, invoice identifier, note or amendment and original rows first. Keep evidence of what was treated as a duplicate and why.
